Refund Policy

This policy explains when Fahid Digital Ventures LLC refunds money for GitAegis, how to ask, and what happens afterwards. It forms part of the Terms of Service. The short version: your first purchase is covered for 30 days, no questions asked.

1.The 30-day money-back period

1.1 Your first paid purchase of a GitAegis plan is refundable in full within 30 days of the purchase date. You do not have to give a reason.

1.2 This applies once per customer, to the first paid subscription bought by an account or organisation. It is a trial safety net, not a recurring option.

1.3 It applies whether or not you used the product during those 30 days.

1.4 A 30-day trial is available before you buy, with no payment card, so most people never need this. Trial terms are on the Pricing page and in Terms of Service §3.

1.5 The 30 days run from the date the payment was taken, not from the date you first signed in.

1.6 Operational status. Nothing can be bought today. No payment processor is engaged, there is no checkout and no invoice, and therefore no refund has ever been owed or issued. This policy is published for review, not as a live commitment against a live product.

2.How to request a refund

2.1 Email support@gitaegis.com from the email address on the account, with:

  • the account email;
  • the invoice number, which is on your invoice in your account;
  • optionally, what went wrong: useful to us, not required from you.

2.2 We acknowledge within one business day. How long an approved refund then takes to process is a commitment this draft does not state, because it depends on a payment processor that has not been chosen.

2.3 The refund is returned to the original payment method. How long it takes to appear depends on your bank or card issuer, typically 5 to 10 business days after we process it.

2.4 Refunds are issued in the original currency of the transaction. We do not compensate for exchange-rate movement or for fees charged by your own bank.

2.5 Where tax was collected, the tax is refunded with the fee.

2.6 We do not require you to uninstall or delete anything before we issue a refund.

3.What is refundable

Situations in which a payment is refundable, and the basis for each.
SituationRefundableBasis
First paid purchase, within 30 daysYes, in fullSection 1
Duplicate charge, or a charge you did not authoriseYes, in fullBilling error
A renewal charged after you cancelledYes, in fullBilling error
We discontinue the paid service or a material paid capability permanentlyYes, unused portionTerms §14.6
We make a material change to the Terms you do not acceptYes, unused portionTerms §17.3
Enterprise contract, per its own termination clausePer the order formSection 5

3.1 If we got the billing wrong, we fix it and refund the difference. There is no time limit on correcting our own error, and we do not require you to spot it within a window.

3.2 Accidental renewals. We send a renewal reminder before every renewal. If one still catches you out, tell us promptly and we will usually refund it, at our discretion. “Substantial use since renewal” means the seats were actively used after the renewal date. The window for reporting one is not set in this draft.

4.What is not refundable

4.1 The following are not refundable, except where section 3 or applicable law says otherwise:

  • Partial periods. If you cancel mid-term, you keep paid features until the end of the term you paid for, and we do not refund the unused part.
  • Renewals after the first term, outside the circumstances in section 3.
  • Seats added mid-term. Seats added part-way through a term are charged pro rata to align with your renewal date, and that pro-rata charge is not refundable if you later reduce your seat count. Reductions take effect at renewal: see section 6.
  • Second and subsequent purchases by the same customer, where the 30-day money-back period has already been used once.
  • Taxes already remitted to a tax authority, where the refund itself is not being granted.

4.2 We may decline a refund where we reasonably believe the request is abusive, for example repeated buy-and-refund cycles, or a refund requested after the account was suspended for breach of the Acceptable Use Policy. We will tell you the reason.

5.Enterprise and invoiced contracts

5.1 Enterprise plans bought under a signed order form or invoice are governed by that document, not by the 30-day money-back period in section 1.

5.2 Where the order form is silent, refunds for prepaid, unused, and undelivered periods are handled by agreement between the parties, in good faith.

5.3 Termination rights, service commitments, and any credits for missed commitments are set out in the order form.

5.4 Questions about an Enterprise invoice go to sales@gitaegis.com.

6.Proration on downgrade and seat changes

6.1 Adding seats mid-term. New seats are charged pro rata for the remainder of the current term, so that every seat renews on the same date.

6.2 Removing seats. Seat reductions take effect at the next renewal. We do not refund removed seats mid-term, and the seats stay usable until the renewal date.

6.3 Downgrading a plan takes effect at the next renewal, at the lower price. We do not refund the difference for the remainder of the current term.

6.4 Upgrading a plan takes effect immediately. You are charged the difference, prorated for the remainder of the current term.

6.5 If a downgrade would leave you below the minimum seat count for a plan, the change is refused until the seat count is valid. Minimum seat counts are on the Pricing page.

6.6 Proration is calculated on whole days remaining in the term.

7.What happens to your data after a refund

7.1 A refund ends the paid subscription. Where the refund is for the first term, the subscription ends immediately rather than at the end of the term.

7.2 The desktop application keeps your work reachable. Your repositories, local capsules, Flight Recorder history and Operation Journal stay on your disk, and GitAegis goes on opening them: history, undo, capsule restore and export do not stop. What stops is everything a subscription pays for, and nothing new is added to local retention going forward.

7.3 Cloud-only capability stops at once: cloud capsule backup, multi-device restore, integrations, workspaces, policy distribution, and audit export.

7.4 You have a window from the refund date in which to export your data. After that window, cloud data is deleted on the schedule in Privacy Policy §7. The length of that window is not set in this draft.

7.5 Encrypted capsule objects are deleted whole. We cannot decrypt them before deletion because we do not hold the key material: see Privacy Policy §5. Export anything you want to keep before the window closes.

7.6 Billing records are kept for the statutory period in Privacy Policy §7, because tax law requires it. That is true whether or not the payment was refunded.

7.7 You can buy again later. A new purchase after a refund does not restore data that has already been deleted.

8.Chargebacks

8.1 Please talk to us first. A refund is faster than a chargeback and costs neither of us anything. Almost every chargeback we would ever see is something we would simply have refunded.

8.2 If you open a chargeback, we may suspend the account while the dispute is open, because the funds are held by the card network and we cannot verify the entitlement.

8.3 We respond to disputes with the account and billing records we hold: purchase date, plan, seats, invoices, cancellation and renewal notices, and sign-in activity metadata. We do not submit repository content, because we do not have it.

8.4 If a chargeback is decided in your favour, the subscription ends and section 7 applies.

8.5 If a chargeback is decided in our favour, the subscription continues and access is restored. Where a payment processor charges us a dispute fee for a chargeback that was raised without first contacting us, we may pass that fee on before restoring access, to the extent permitted by law.

8.6 We do not require you to waive any right you have with your card issuer. This section describes our process, not a restriction on yours.

9.Statutory rights

9.1 This policy is in addition to, and does not limit, any statutory right you have as a consumer.

9.2 Consumers in the European Union and the United Kingdom have a statutory right of withdrawal for distance contracts. Where you ask for the service to start immediately and acknowledge that you lose the right of withdrawal once it is fully performed, that acknowledgement is recorded at checkout. Our 30-day money-back period is more generous than the statutory 14-day period in most cases, and we do not use the acknowledgement to refuse a refund that section 1 covers.

9.3 Where mandatory local law gives you a better outcome than this policy, that law applies.
